First Base Employment needed a cloud based accounting solution and turned to us to help them make the right choice whilst taking into account their longer term strategic needs.
Tricia Hay started First Base Employment over 20 years ago with a vision to be providing honest ethical recruitment from a trusted supplier. First Base have a flexible approach to finding solutions with fully engaged candidates that have been interviewed face to face.
First Base outsource their payroll and linked sales invoicing, which then feeds into their accounting requirements. Following the sale of their accountants, they reviewed their requirements and approached us to help with their compliance needs and work with them on their longer term strategy.
As part of this review the accounting function was discussed in detail as the information was collated from a variety of sources, supplied to the accountants who used a desktop accounting package and then provided monthly reports. This was not the most efficient method and did not lead to timely information being available from which to make decisions. With the changing regulatory landscape this would not be compliant for Making Tax Digital purposes.
We are proud to be Xero gold partners and all agreed that it would best suit their requirements. For the transfer to Xero cloud accounting, the backup from Sage 50 was converted and transferred across to provide a couple of years of history. Then training sessions were provided to allow the team to do some data entry, alongside the direct feed from their bank account to enable Xero to pull in the transactions. Our team provide some of the outsourced functionality, making sure postings are correct, as well as extracting the sales invoices and payroll from their outsourced suppliers to import into Xero. This now means that statements can be issued to customers direct from Xero and they can keep a better eye on the company’s debtors and ultimately cash flow.
As the First Base team have become more comfortable with using Xero, additional training has been provided and ReceiptBank has been introduced as a data capture tool which saves them a lot of time. We will continue to support Tricia and team to ensure they are getting the most out of Xero.
